Time Standards
- Same day contact with insured upon assignment
- Inspection within 72-hours (unless the insured is unable to schedule a meeting within that timeframe).
- Settlement recommendations or documentation of adequate progress toward settlement completed within 7 days of assignment or less.
Reporting
- Real time reports are available to track the claim from the time it is received until the settlement recommendation is submitted.
- Reserves are phoned-in at time of inspection.
- Adjusters will settle based on agreed scope of damage, unless otherwise instructed.

General Claims Guidelines
- New claims assignments received are handled immediately and contact is made within 24 hours if the insured is available. If contact is not made within 48 hours, a contact letter will be sent USPS. Telephone contact attempts will continue until contact is made.
- Inspections for losses are normally conducted within 2-3 days dependant on the insured’s availability. In emergency situations, inspection are conducted the day contact is made whenever possible.
- Reports are issued within seven days or less for normal losses. Documentation is compiled into a stacked PDF file, and sent via email unless advised otherwise by the client. Documentation contains a report, estimate, photographs, sketch and any other supporting documentation.
- Captioned format reports are provided on all losses. Initial report is submitted within seven days after receipt of claims assignment. We use standard captioning however, when situations require specific captions, we will provide reports according to your standards.
- Detailed sketch(s) will be included on all roof and interior losses.
- Estimates are written in either Xactimate or IntegriClaim estimating platforms. Each estimate will include replacement cost and actual cash value.
- Photographs are provided in an album type format with descriptions unless we are instructed differently. Risk photos are taken from four views (sides) and all damages pertaining to the claim will be captured.
- Detailed invoice(s) will be provided to outline services provided. When mileage has been billed, a Google Maps printout will accompany the service invoice. All T&E files will include a detailed spreadsheet to indicate time spent on individual aspects of the claim.
